Definitions

All collection, processing and use (hereafter "usage") of data by Inate AI LLC is exclusively for the purposes of providing the inate.ai services (hereafter "services"). The services have been designed with the goal of collecting as little personal data as possible to function. By "personal data", we mean all particulars related to an identified or identifiable natural person (the "data subject").

The following statements describe which types of data we collect when you use our services, what happens with this data, and how you can object to this data processing, where applicable.

"Our Website(s)" and "inate.ai Websites", refers to any website owned and / or operated by Inate AI LLC, especially www.inate.ai (including all subdomains).

"inate.ai platform" refers to inate.ai's data platform hosted at app.inate.ai (including all subdomains).

What Data we Collect

When you visit our website, our server temporarily saves details of your access in its logs. These logs contain the following data, and are kept until their automatic deletion:

  • The IP address of the computer making the request
  • The date and time of your request
  • The requested URI
  • The amount of data transferred to you in response
  • Whether the request was successfully processed or not
  • Identifying data about the browser and operating system you use
  • The referring website from which you made the request
  • The name of your Internet Service Provider

The purpose of recording this data is to make it possible to serve the website to you (by establishing a TCP/IP connection), to secure our servers, the technical administration of our infrastructure as well as the optimisation of our services. Only in the case of unauthorised access or attacks on our infrastructure will your IP address be analysed.

inate.ai Platform

The inate.ai Platform analyzes data from a variety of sources on the basis of legitimate interest to fulfill our contractual commitments to you our customer. The inate.ai Platform acts as a Data Processor to you, our customer, as the Data Controller over your data.

The inate.ai Platform holds two types of Personal Information:

1. Information about inate.ai users.

Information about inate.ai users includes:

  • End­-user login/registration information ( email and password) for users as well as metadata about usage.
  • Login information is controlled by customers directly as it is entered on their instance and they can delete their users' information at any time.
  • Job role information which may also be shared and used with Certification and Learning Programs.
  • Metadata is used to facilitate product improvements, customer support and license auditing.
  • We retain basic user contact information to send product updates, relevant marketing, training and events based on the users' communication preferences.

2. Customer data necessary to answer users' queries.

Once the inate.ai Platform is connected to your data, the inate.ai database retains data from your database, your tools, your uploads and/or other sources, that is fetched in response to your queries.

Customer data is encrypted and securely stored by inate.ai.

When you or or your organization's administrator creates an account to use the Platform on your behalf, additional information about your use of the Platform is collected:

  • Unique identifier(s) allow us to monitor user experience.
  • Device information may include the hardware model, operating system and version, unique device identifiers, network information, IP address, and/or Platform version.
  • Information about all of your interactions with the Platform and training content and how the Platform is performing.
  • License credentials to ensure that usage is in compliance with the customer's licensing terms. This information includes metadata about users, roles, database connections, server settings, features used, API usage, and Platform version. Information contained in your organization's inate.ai database used with the Platform, to which we have access when we automatically back it up and encrypt it for you.
  • Logins that use external directory or single sign-on services share with us certain information to authenticate your identity and pre-populate certain forms (e.g. user registration) on the Platform. Note that even if you subsequently stop using the services, we will retain the information you have shared with us, in accordance with this Privacy Policy.
  • If a inate.ai customer uses the Platform to analyze personal information in their databases, inate.ai will process the categories of personal information analyzed, which may include special categories of data as determined by the customer, including without limitation factors specific to the individual's physical, physiological, genetic, mental, economic, cultural or social identity. inate.ai users should avoid using special or sensitive data categories, PHI, or other protected consumer information as part query strings, looks, embedded messages or similar.

Retention and Deletion

inate.ai customers create and remain in control of your data and data about your users and user activities and reports. When you remove users from the inate.ai platform, their data will be removed from inate.ai's databases within 30 days and within 30 days they will no longer remain in inate.ai's cache.

If you are an inate.ai user and wish to delete an inate.ai user's account data, please contact your inate.ai Administrator or internal compliance decision-maker for assistance. At the request of our customers, we have a process to permanently anonymize the data by data engineering.

Email Communications Preferences

inate.ai respects your email communications and marketing preferences. If you prefer not to receive product release notes communications or promotional email messages (such as product updates, security alerts, marketing, events, training and certifications) from inate.ai, you can unsubscribe from inate.ai's email marketing by following the unsubscribe link located at the bottom of each promotional email, or contacting us at info@inate.ai with "UNSUBSCRIBE" in the subject line. Note: Please allow five (5) business days to be removed from all email communications.

Hosting

By default, inate.ai hosts all instances of the inate.ai Platform in the U.S. region.

Minimum Age

inate.ai is a business service, not a consumer product. The Websites or Platforms are not directed to, nor intended to be used by, individuals under the age of 16, or the equivalent minimum age in the relevant jurisdiction. inate.ai does not knowingly collect personal information from individuals under the age of 16, or the equivalent minimum age in the relevant jurisdiction. If you become aware that an individual under the age of 16, or the equivalent minimum age in the relevant jurisdiction, has provided us with personal information, please contact us immediately at info@inate.ai. If we become aware that an individual under the age of 16, or the equivalent minimum age in the relevant jurisdiction, has provided us with personal information, we will take steps to delete such information.

Updates to this Privacy Policy

inate.ai may update this Privacy Policy from time to time. When we do update it, for your convenience, we will make the updated Privacy Policy available on this page. Please check this Privacy Policy periodically for changes. If we make any material changes, we will notify you by email (sent to the email address specified in your account registered with the Site or Platform) or by means of a notice on the Website or Platform.

Third-Party Tools We Use

Intercom

inate.ai uses Intercom to communicate with Users of our product, inform them of new features, and answer questions and queries. We also use Intercom to manage information about our customers and leads.

Personally identifiable information, including name, email address, phone number and location and country is submitted to Intercom’s servers and saved there when a user chooses to sign up to the inate.ai Platform.

The option to subscribe to notification is made possible through the use of JavaScript and cookies. Information obtained via the cookies and / or the JavaScript widget, including IP address, browser version, OS version, activity data, usage information, transaction information and plan details is transferred to Intercom’s servers and saved there.

Other information, including IP address, browser and OS version, and timestamps, is submitted to Intercom when a user loads resources embedded in, or a link contained an email sent through Intercom.

The analyses of your actions on our website and with the notifications sent through Intercom is transferred to us in the form of reports. Intercom may give any of your information to further parties where legally required to do so, or these parties are contracted to by Intercom.

Google Analytics

Our website uses Google Analytics. This is a service of Google Inc (hereafter "Google") which analyses website access, and enables us to improve our site.

The analysis of your use of our website is made possible through the use of cookies. Information obtained via these cookies is transferred to Google servers located in the United States, and saved there. The analyses of your actions on our website is transferred to us in the form of reports. Google may give this information to further parties where legally required to do so, or these parties are contracted to by Google. The Google tracking on our website uses the "anonymizeIp()" function, which truncates the transmitted IP addresses so as to prevent the direct identification of any individual users.

You can stop the placement of Google Analytics cookies on your computer through the settings of your web browser. If you do so, we cannot guarantee that all the functions of our website will be fully available to you. You may also stop the placement of cookies through the use of browser extensions, such as:

Stripe

Inate AI LLC uses Stripe to process payments for some of our existing customers and provide billing information to these customers.

For customers that are billed with Stripe, the following data is sent and stored by Stripe:

  • Your name and email address
  • Details of your payment method (credit card number, expiry date, CVC)
  • Your IP address, and the time and date of your transaction

If you wish to avoid sending your data to Stripe, you can do so by paying for your inate.ai plan using bank transfer.
